Frequently asked questions

Once you have been awarded a grant, and satisfactorily responded to any points raised by the Committee or reviewers, you will be sent an award letter.

The award letter acceptance slip should be signed and returned by a representative of the institute at which the award is held who is sanctioned by the institute to agree such contracts.

In signing the award letter, the institute agrees to the Diabetes UK Grant Conditions and other relevant policies.

Once Diabetes UK has received an acceptance slip you will be contacted to activate the grant through the online Research Management System, followed with a payment schedule. Please contact the Research Team if you do not have a payment schedule for your grant.

Payments for Project grants, PhD Studentships and Fellowships

Project grants, studentships and fellowships are paid quarterly in arrears on receipt of your invoice.

Grants are paid on profile payments (rather than actual costs) as per the payment schedule.

At the end of the award, any unspent funds should be returned to Diabetes UK and if this is the case the final invoice should be reduced to reflect this.

Diabetes UK will not supplement grants that have spent more than the initial award.

Payments for Early Career Small grants

Early career small grants are paid as a single instalment after the start date of the grant and on receipt of your invoice. Any unspent funds must be returned to Diabetes UK after submission of the final report.

Invoicing

Diabetes UK will honour any nationally agreed pay awards. These should be invoices for separately at the end of each financial year.

Diabetes UK will not cover increase in salary scales as these costs should be included in the initial application form and cannot be paid retrospectively. Please contact research@diabetes.org.uk for further information.

Extensions to your grant

If you encounter problems with your grant that may result in a delay a time-only no-cost extension can be discussed. Please complete the relevant section of this form and return to research@diabetes.org.uk. It is very rare that Diabetes UK will be able to provide funding for a costed extension to your grant or supplementary awards after funding has been agreed, but please contact the Research Team should you wish to discuss this.

Virement of funds

If you encounter problems with your grant and you wish to vire funds from one part of your awarded grant to another, please complete the relevant section of this form and return to research@diabetes.org.uk.

Global Talent Visa – Fellowships 

RD Lawrence, Sir George Alberti and Harry Keen Fellowship holders requiring a visa to work in the UK are eligible to apply for a Global Talent Visa under the fast-track process of endorsement (route 2: individual fellowships). In line with the highly prestigious nature of your award, the Global Talent Visa is designed for people who are recognised as leaders and potential leaders in their field. 

This initiative is approved by the British Academy, Royal Academy of Engineering and the Royal Society. Should you wish to apply for this visa you should select the ‘Fast Track consideration’ option on the Home Office endorsement application form and use your award letter as evidence of your Fellowship. You can apply for fast-track Global Talent Visa endorsement up to five years after the end of your fellowship and you do not need to have a post or institution confirmed. It is recommended that you arrange your visa in plenty of time before the start date of your award. Further details can be found on the UK government website and the Royal Society’s website. Global Talent Visa – Project Grants  

Diabetes UK Project grant principal investigators, co-investigators and team roles at graduate level and above (for example, postdoctoral researchers, research assistants, technologists and methodologists) requiring a visa to work in the UK are eligible to apply for a Global Talent Visa under the fast-track process of endorsement (route 3: endorsed funder)

This initiative is approved by UK Research and Innovation (UKRI) and eligible individuals must spend at least 50% of their work time on fulfilling the grant conditions. A minimum award threshold of £30,000 applies and the minimum grant duration is 24 months. Individuals must have at least one year left on their employment contract to be eligible.  Should you wish to apply for this visa you should select the ‘Fast Track consideration’ option on the Home Office endorsement application form and use your award letter as evidence of your project grant.  It is recommended that you arrange your visa in plenty of time before the start date of your award. Maternity and paternity leave

Diabetes UK is not the employer of staff on the grant. The institute where the grant is administered or staff posts are held is the employer and as such is responsible for maternity and paternity leave and pay during this time.

Please contact the Research Team if this type of leave is needed and they will suspend the grant until it is able to resume. Payments to the grant will resume upon the grant holders return to work.

Sick leave

Diabetes UK is the not the employer of staff on the grant. The institute where the grant is administered or staff posts are held is the employer and as such is responsible for any sick leave and pay during a period of sickness.

Please contact the Research Team if this type of leave is needed and we will suspend the grant until it is able to resume.
